What BackstockOps Does

BackstockOps helps Shopify merchants manage supplier-aware inventory workflows around the Shopify catalog they already use: supplier records, supplier SKU mapping, replenishment review, purchase orders, receiving, stock counts, transfer planning, reports, settings, and public API access.

Plan Requirement

Starter supports supplier records, core supplier SKU mappings, basic recommendations, and CSV import/export. Ops adds purchase orders, receiving, stock counts, operational reports, transfer planning, and full supplier/mapping imports. Growth adds forecast profiles, ABC analysis, sales-history powered reports, and advanced email-sending options. Scale adds public API access, workflow roles, approval controls, audit access controls, and advanced staff governance.

Trial and development stores can test broader workflows. If billing is cancelled or past due, BackstockOps blocks billable workflow access until billing is active again.

Role Or Permission Requirement

Shopify controls whether a staff member can open the app. On Scale, BackstockOps workflow roles control what the user can do after the app loads. Owner/Admin can manage settings and roles. Buyer, Receiver, Counter, Analyst, and Read-only roles have narrower workflow permissions.

Transfer planning: generate transfer worksheets between Shopify locations.
Stocky migration: import supplier, mapping, PO reference, and sales-history context.
Settings: sync, roles, approvals, labels, email sending, reports, stock counts, and API access.

What To Prepare

Shopify products and variants with usable SKUs or barcodes.
Active Shopify locations and synced inventory quantities.
Supplier names, contact details, lead times, payment terms, and account numbers.
Supplier SKUs, costs, pack sizes, minimum order quantities, and case quantities.
Any supplier CSV requirements for purchase order exports.
Staff role decisions if workflow roles will be enforced.

First-Day Setup Sequence

Open BackstockOps from Shopify Admin.
Open Plans and confirm the plan matches the workflows you need.
Check Dashboard readiness and sync data if needed.
Open Suppliers and create the first supplier.
Map at least one supplier SKU to a Shopify variant.
Use Supplier Mapping CSV Imports or Stocky migration if you have a price list.
Open Replenishment and review supplier-aware recommendations.
Create a test draft purchase order.
Configure supplier-specific PO CSV output if the supplier requires it.
Send or export the purchase order when quantities and costs look right.
Receive inventory from the purchase order when stock arrives.
Run a stock count to validate inventory accuracy.
Review Reports and export a CSV if needed.
Open Settings and configure replenishment, purchase orders, stock counts, reports, roles, approvals, audit, and API settings.

Shopify Read And Write Behavior

BackstockOps reads Shopify products, variants, locations, inventory, and sales-history inputs where available. Shopify remains the source of truth for catalog and inventory. Supplier records, supplier mappings, transfer worksheets, reports, settings, and audit logs are BackstockOps records. Purchase order receiving and applied stock count adjustments can write inventory changes to Shopify.

What Not To Do First

Do not trust replenishment recommendations until supplier mappings and settings are ready.
Do not send live purchase orders before testing supplier output.
Do not apply stock count adjustments until discrepancies and reasons have been reviewed.
Do not assume transfer planning moves Shopify inventory; Shopify native transfers remain the transfer system of record.
Do not treat BackstockOps as a full ERP replacement.

Expected Success State

A ready store has active Shopify data, supplier records, mapped supplier SKUs, replenishment recommendations, a tested purchase order flow, stock count controls, reports that match the plan, and settings that reflect the team's workflow.

Common Troubleshooting

App does not open: confirm the correct Shopify store and app access.
Data is missing: sync Shopify data and check product filters in Settings.
A feature asks for a different plan: open Plans and review the plan requirement.
A user cannot act: check BackstockOps workflow roles.
Recommendations are empty: add supplier mappings, check inventory, and rerun replenishment.
